The varied functions of the District Clerk´s Office require employees to be dispersed over a wide geographic area.  Although anybody can be reached through our main office in the courthouse, many routine situations call for direct contact with the cognizant employee.  In this section, we show our locations, the division chiefs, the functions of each division, and a database of our leadership.  Just follow the links or scroll down.

District Clerk Locations
Deputy District Clerks are distributed over four major Bexar County facilities*.  The Records & Training Center is a secured facility and not yet open to the public.  If lost going to the Courthouse, just ask any San Antonian for directions to the venerable "Old Courthouse."

* A word about courthouse security"Bexar County facilities and personnel are on a heightened state of alertness for possible terrorist activity.  Only law enforcement officers are allowed to carry weapons into these facilities.  Airport type security equipment are used and searches of persons and belongings are conducted.  Report immediately any suspicious persons, parcels, substances, sounds and smells.  Cooperate fully with Sheriff´s Deputies and Security Monitors.  In case of building evacuation or area isolation, remain calm and obey instructions from public safety personnel and directions from building employees.  Offer to assist children, the handicapped and the infirm.  Thank you for your support of our efforts to maintain safety and security for our visitors, ourselves and Bexar County´s priceless resources."     Margaret G. CIVIL FILING DIVISION

.  All new Attorney General filings are filed through electronic transmittal.  This area is also responsible for filing, recording and posting all pleadings pertaining to the aforementioned cases.


 

All Other Civil Matters

This area is responsible for all newly filed civil and family cases including divorce, paternity and change of name suits.  Case information is entered in the Bexar County Docket System.  All tax suits are also filed electronically.  This area is also responsible for filing and posting all pleadings pertaining to civil and family cases as well as conducting FaxFILING and eFILING operations.

 


COURT SUPPORT DIVISION
 

Appeals/Criminal Filing

The Appeals Section processes all Criminal Appeals records and files them with the Fourth Court of Appeals or with the Court of Criminal Appeals.

The Criminal Records Section assists the public with subpoenas, copies from criminal files, answering questions by telephone and in person and conducting criminal record searches.

The Grand Jury Section prepares the indictment list handed down weekly by the Bexar County Grand Jury.  Other responsibilities include preparing pay checks for the grand jurors and creating files for criminal felony cases.

The Criminal Assignments Section notifies attorneys of trial settings, court appointments and rescheduling of cases.

The Bond Forfeiture Unit is responsible for the filing of all forfeitures in criminal felony cases and all monies resulting from such cases.

The Direct Filing Section maintains pre-indicted felony cases with the attorney appointments, bonds and any motions filed.  Other responsibilities include the preparation of penitentiary packets for inmates being transferred to the Texas Department of Corrections.

 This area receives all newly filed adoption, termination and emergency protection cases.  Case information is entered in the Bexar County Docket System.  Case Files are kept secure and are not public record


OPERATIONS DIVISION
 

Court Registry

The Court Registry is responsible for overseeing all monies deposited in the registry of the courts.  The records of transactions are enetered into a computerized civil cash system.  The department also handles money to be invested into any bank or savings and loan association at the request of the courts.

The cashiers are responsible for processing services performed to record fees and court costs, collects fees and checks and issue change, print receips and cost bills.

The Cost Department is responsible for providing answers to inquires concerning court costs, including filing fees, deposition fees and balances.  The department also prepares a daily cash report and processes payments.

The Collections Department is responsible for issuing demand notices for cost and  providing answers about inquires concerning delinquent court costs, including filing fees, and balances. 


 

Support Staff

The District Clerk´s support staff, composed of a Personnel Technician, an Administrative Clerk and a File Clerk, among others, work in Operations Division.


 

Juvenile Courts

Special responsibilities include the maintenance of all records filed against juveniles and the processing of those cases.  This area files, records and posts each pleading and issues service and processes on all juvenile appeal matters.


RECORDS DIVISION

Recording.  Responsibilities include answering public inquiries as to case status and disposition.  Computer, microfilm and records jacket searches may be conducted and certified copies of documents filed in lawsuits are issued.  [Certified copies are $1.00 per page and plain copies $0.50 per page.]  Such documents may be recorded on microfilm and court orders and decrees are recorded in the courts' minute books.  There is a minimal fee of $5.00 for searches conducted by Deputy District Clerks but the public may conduct unassisted searches at no charge.  Call (210) 335-2662 for service and information.

  • Requests for FaxExpress packets may be sent by fax to (210) 335-0536.
  • Digital imagingStores records in digital format for research and filing requirements.  This section completed the transition to totally digital imaging in mid-2001.  Call (210) 335-2192 for service and information.


 

Records

Organizes all court papers into appropriate case jackets and maintains them in order.  Ensures that case jackets are sent to the Presiding Court on trial dates.  "EM5" cases from 1996 to the present are stored and maintained in this area.  With prior notice, other civil and tax cases prior to 1994 may be requested from off-courthouse storage.  Call (210) 335-3055 for service and information.

    This facility stores and maintains all Civil, Criminal and Juvenile cases jackets as well as items of evidence that are not located in the Courthouse, Justice Center, Juvenile Justice Center or on microfilm.  Also, voluminous court documents are stored for retrieval upon request.  This location, although not yet fully open to individuals, is currently capable of serving institutional researchers only (with prior arrangements) while physical facilities are being designed and constructed to accommodate the general public.  Call (210) 533-6982 for service and information.

    This department has a microfilming operation for archival documents.

  • It provides other departments with almost-realtime digital retrieval and transmission of court documents.
